Only Project Administrators can create a new project.

Project administrators can create a project by clicking on the button in the titlebar.
- Select the project stage. (Default is Draft)
- Enter a project code. (Optional)
- Enter the client organization. (Required)
- Enter a texual description. (Optional)
- Enter keyword tags as needed. Type in your tag text and hit “enter” to create a tag. Tags can be used to filter or group projects.
- Select the task defaults for the project.
- Enter all the required settings for the Project Health. Learn more about project health settings
- Click “Save” to accept the changes.

|Draft Mode||A project draft is a project that is in the planning stages and not ready for prime time. The project is visible to the Project Manager only.|
|Active Mode||An active project is a project that has completed the planning stage and is ready or in the middle of delivery. The project is visible to all project members.|
|Cancelled Mode||Use the cancelled mode when the project progress is less than 100% and the project is inactive. The project is visible to the Project Manager only.|
|Closed Mode||Use the closed mode when the project progress has reached 100% complete. The project is visible to the Project Manager only.|
This is the “customer” for the project. It can be anything – a company, a department, a product, a person, or something else.
Internal projects should be assigned to your site’s company name.
This is a textual description for the project.
You can add keyword tags to your project. Simply type in your keywords (spaces are allowed) and hit ‘Enter’ after each tag. Tags can be filtered in the project list view.
Task defaults set the defaulted value for particular inputs when creating tasks.
Note that Assign It To Me also remembers some key values (local to your browser) to save you time when creating additional tasks.
These remembered values will override your default values where applicable.
Tasks are billable
When checked, tasks are billable by default. All projects can have a mix of billable and non-billable tasks.
Tasks are statused by checklist
When checked, tasks will be statused by checklist. This means that the task’s percent complete will be determined by the number of complete checklist items divided by the total number of checklist items. Note that all checklist items are weighted equally.
Project health is a critical part of knowing how well a project is performing. Health is communicated using a simple color scheme:
- Green – Project is within acceptable parameters
- Yellow – Project is at risk of going off the rails
- Red – Project is off the rails
Assign It To Me uses five core metrics to determine a project’s health:
- Percent Complete – The actual progress of the project. Think of this as a coffee cup, and how much coffee is in it.
- Effort – The amount of time to complete the project. Using the coffee cup analogy, you can fill your coffee cup very slowly or very quickly.
- Scope – The amount of changes added to your project mid-stream. Changing the size of your coffee cup while it is being poured can require additional effort and costs.
- Billing – The amount of actual billings compared to scheduled (budgeted) billings of a billable project. This helps identify billing overages ahead of time.
- Flags – Flags are created by your team members. Flags allow a team member to raise a red flag on a project to get the attention of the project manager. Flags are beneficial if your team culture supports this type of activity and are best for projects where transparency is put at a premium.
How Health Works
There is a lot of flexibility in terms of how the health is calculated.
Each core metric has a weighting and thresholds for green, yellow and red states.
The project’s aggregate health is evaluated using the weighting of the core metrics.
Each of the core metrics is *optional*, which allows you to select none to all of the metrics, depending on how you want your project’s health to be evaluated. Whether a core metric is calculated on a project is based on its **importance**, which can be:
- Critical – More important than normal
- Unimportant – Not included in the health calculation at all.
Note that the weightings are intended to *comparative*, i.e., some core metrics are *more important* than others.
What this means is if all of your core metrics are set to **critical**, they will be evaluated equally, which is the same net effect as if you had set all of your weightings for your core metrics to **normal**.
Thresholds help identify when a core metric turns from green to yellow and from yellow to red. They are usually expressed as a percentage of a measurable metric.
How each core metric’s thresholds are calculated:
- Percent Complete – Percentage points behind the expected percentage complete. The expected percentage complete is calculated as percentage of elapsed calendar time (this is a straight line extrapolation).
- Effort – Forecast total effort compared to the total scheduled effort. Forecast total effort is the amount of effort expected to complete the project based on actual effort divided by actual percent complete.
- Scope – Total effort (baseline + scope changes) as a percentage against total baseline effort.
- Billing – Actual billings to date as a percentage of scheduled billings.
- Flags – Number of flags raised.
